Use the fields and options to configure the Manage Closeout Formats screen.

View and/or enter closeout formats. Click New to add a line.

| Closeout ID | Enter a unique closeout format ID. There are two Costpoint-defined closeout format IDs that display automatically in this field.
You cannot delete system-defined IDs. If you do not want to use the closeout format in the closeout process, you can clear its corresponding Show in Lookup checkbox, and it will no longer be available for selection in contract and subcontract records. For user-defined closeout IDs, once you save them, you will no longer be able to modify the ID. A user-defined closeout ID record/row can only be deleted if it has not been used in any contract or subcontract closeout record. | ||||||
| Closeout ID Description | Enter a unique description for new closeout IDs. For existing closeout IDs, you can modify this field for both user- and system-defined IDs only if the closeout ID has not been assigned to any contract or subcontract closeout record. | ||||||
| Show in Lookup | This checkbox is selected by default for both user- and system-defined closeout IDs, but you can modify it. Keep it selected to display the closeout ID in the lookup of the Closeout Format ID field on the Subcontract Closeout tab of Manage Subcontracts and on the Contract Closeout tab of Manage Contracts. Only those closeout IDs that are available in the lookup can be used for new records on both screens. If you clear this checkbox, you will not be able to use the closeout ID in the closeout process. If you have already assigned the closeout ID to a contract or subcontract record and then you clear this checkbox, the contract/subcontract record will not be affected. | ||||||
| Application | Select whether the closeout format will apply to Contract, Subcontract, or Both. The closeout descriptions that you can assign to a closeout format depend on the Application value selected in Manage Closeout Formats and Manage Closeout Descriptions:
Once a format is assigned to a contract or subcontract, the Application field in Manage Closeout Formats becomes read-only. | ||||||
| Source | This field displays System (system-defined closeout ID) or User (user-defined closeout ID). You cannot modify this field. | ||||||
| Closeout Code 01 - 10 | Enter, or click You can enter a maximum of 10 closeout codes, but only Closeout Code 01 is required. You cannot use the same closeout code in multiple closeout code fields. Once you have used a closeout code in a field, that code will not be available for selection in another closeout code field. Do not skip closeout code fields when entering closeout codes to avoid an error (for example, you entered a value in Closeout Code 03, skipped Closeout Code 04, and then entered a value in Closeout Code 05). Fill in the gaps or move the closeout code up in the sequence. | ||||||
| Close Code Description 01 - 10 | This field displays the description of the closeout codes you selected in Closeout Code 01 - 10. The descriptions of the closeout codes you assigned to the format will display on the Subcontract Closeout tab of Manage Subcontracts or on the Contract Closeout tab of Manage Contracts when the format is selected on the respective tab. |
