Contents of the Manage Timesheet Periods Screen
Use the fields and options to configure the Manage Timesheet Periods screen.
Field | Description |
---|---|
Timesheet Cycle | Enter this timesheet cycle code. You must assign one of these timesheet cycles to each active employee on the Manage Employee Information screen. You can establish an unlimited number of timesheet cycles. |
Description | Enter a description of this timesheet cycle for reports and other documents conducive to a longer description. |
Frequency | From the drop-down list, select the frequency type of the timesheet cycle. Valid options are:
|
Default Auto-Adjust % | Enter the auto-adjustment percentage to be used as a default entry on the timesheet. Normally, this percentage is set to "100.00." However, if you enter only part of a pay period, enter the percentage that applies to the part you are entering. For example, if you enter half of a pay period, enter "50.00" for the percentage. Note:
This percentage refers to the pay period rather than the timesheet period. Although the pay period is not established in Costpoint Labor, you must associate a pay period with each employee. For example, your timesheet period can be Weekly, but your pay period can be Bi-Weekly. The salary rate recorded on the Manage Employee Salary Information screen refers to the amount of pay in the pay period, not the timesheet period. Because this percentage is offered only as a default, you can change or override it when entering the timesheet. |
Week Starts on | From the drop-down list, select the day on which the work week starts. This will be used to determine the overtime hours for the week. |
Add Timesheet Periods
Use this group box to automatically fill in the Timesheet Periods table. Enter values into the following two fields and click Add Timesheet Periods to automatically fill in the Timesheet Periods table.
Field | Description |
---|---|
Number of Periods | Enter the number of timesheet periods to be added in the Timesheet Periods table. For example, if you have a semi-monthly timesheet cycle and you would like to add timesheet periods for the entire year, enter 24 in this field. This field is required if you want to use Add Timesheet Periods button to automatically populate the Timesheet Periods table. |
First End Date | Enter, or click to select, the date to be used as the starting point for adding records to the Timesheet Periods table. After you select the Add Timesheet Periods button, Costpoint determines the timesheet period dates based on this date and the values in the Frequency and Number of Periods fields. If entries already exist in the table, this date must be the end date of the period following the last period in the table. |
Last End Date | This non-editable field displays the end date of the last timesheet period that will be added when you press the Add Timesheet Periods button. This value will default based on the Number of Periods, First End Date and Frequency. This value is provided to help you ensure the timesheet periods being added to the table are as expected. |
Set Periods to Open | Select this check box if the timesheet periods being added should be set to open so that timesheets can be entered for the dates covered by the periods. You may also manually open timesheet periods if you'd prefer not to open all of the periods being created. |
Add Timesheet Periods | Click this button to add timesheet periods based on the values you provided in the Frequency, Number of Periods, and First End Date fields. If you would like to set the new timesheet periods to Open, you may select the Set Periods to Open check box. |
Timesheet Periods
Use the Timesheet Periods table on the Manage Timesheet Periods screen to view the start dates, end dates, and open status, weighted average processed status, and auto-adjust rate for each timesheet period.
Field | Description |
---|---|
Start Date | When you click Add Timesheet Periods, Costpoint uses the End Date field in this table and the value in the Frequency field to automatically calculate these dates. If you do not use the automatic fill feature, you must select , then enter each start date, in MM/DD/YYYY format, for this timesheet cycle schedule. |
End Date | This field displays the end date of each timesheet period. If you do not click Add Timesheet Periods to automatically fill this table, enter each end date in MM/DD/YYYY format. To change this field, delete the column displaying the old end date and add a new row displaying the new (revised) end date. |
Open | Select this check box to indicate that the timesheet period is open. In order to save or import a timesheet, the timesheet date must fall within an open timesheet period. More than one timesheet period can be open at a time. |
Weighted Avg Processed | The check box in this field is selected to indicate that a weighted average rate has been calculated and applied to this timesheet period. If a weighted average rate has not been calculated, the check box is not selected. This check box defaults as cleared for a new timesheet period. |
Auto-Adjust % | Enter the auto-adjust rate for the selected timesheet period. Auto-adjust percentages can vary due to the number of days in a timesheet period. When you add new periods by clicking Add Timesheet Periods on the main screen, the application assigns Default Auto-Adjust % field value in this field for each added period. |
