Contents of the Month End Processes Screen

Use the fields and options to configure the Month End Processes screen.

Identification

Use the fields in this block to create a new parameter ID or to retrieve a previously saved parameter ID. A parameter ID represents a set of screen selection parameters. After you have saved a parameter ID and its related parameters, you can retrieve them using Query.

You can use the retrieved parameters to produce reports and run processes more efficiently and with greater consistency. The saved parameters are also useful and necessary when you want to run the process as part of a batch job. Many users save a unique set of parameters for each different way they run a report or process. When you select a previously saved parameter ID or parameter description, the associated saved screen selection parameters automatically display as selection defaults. The page setup and print options, if there are any, are also included in the saved parameter ID. You can change any of the associated selection defaults as necessary.

Field Description
Parameter ID

Enter, or click to select, a parameter ID of up to 15 alphanumeric characters. Choose characters for your parameter ID that help identify the type of selections you made on the screen, such as PERIOD or QUARTERLY.

When you save your record, all the selections made on the screen are stored with the parameter ID. Later, you can retrieve the parameter using Query.

You can use the parameter to run the process more efficiently because you can select the parameter ID with its previously defined screen selections. After the default selections display on the screen, you can override the defaults.

Description

Enter, or click to select, a parameter description of up to 30 alphanumeric characters.

Selection Ranges

Use the fields in this group box to specify the accounting period and projects that you would like to include in the process.

Accounting Period

Use this group box to select the accounting period that you would like to include in the process.

Field Description
Option

This field always displays One.

Fiscal Year

Enter, or click to select, the fiscal year that you want to include in the process.

Period

Enter, or click to select, the period that you want to include in the process.

Subpd

Enter, or click to select, the subperiod that you want to include in the process.

Projects

Use this group box to select the projects that you would like to include in the process.

Field Description
Option

Select a range option from the drop-down list. Valid options are:

  • All
  • One
  • Range
  • From Beginning
  • To End

The default for this field is All.

Start

Enter, or click to select, the beginning project of the range that you want to include in the process. If you select All or From Beginning in the Option field, this field is inactive.

End

Enter, or click to select, the ending project of the range that you want to include in the process. If you select All or To End in the Option field, this field is inactive.

Run Month End Processes Click on the Global Toolbar to run the application for the specified parameters.

Parameters Used for the Individual Processes

Except for the accounting period and projects, you cannot make any other changes on the actual parameters used by the individual processes run by the Month End Processes screen. The following table lists the default parameters for each application as used by Month End Processes. The applications are listed in the order that Month End Processes executes them, first to last.

  • Accounting Periods: Accounting Period selected in Month End Processes
  • Projects: Projects selected in Month End Processes
Load Labor Rates
  • Fiscal Year/Period/Subpd: Fiscal Year/Period/Subpd selected in Month End Processes
  • Projects: Projects selected in Month End Processes
  • Exchange Rate Date: Today's date
Compute Revenue
  • Accounting Period: Accounting Period selected in Month End Processes
  • Projects: Projects selected in Month End Processes
  • Revenue Formulas: All

The defaults in the other fields in Compute Revenue are used, as follows:

  • Process Options drop-down list: Compute Only option selected
  • Rate Type: Actual
  • Fiscal Year under Prior Year Revenue: Blank
  • These check boxes are all cleared:
    • Process Closed Fiscal Years
    • Use Previously-Stored Revenue Calculation Values
    • Include Adjustment Period Revenue from Prior Fiscal Years
    • Multiple Fiscal Years
Update Project Status Report Tables
  • Accounting Period: Accounting Period selected in Month End Processes
  • Projects: Projects selected in Month End Processes

The defaults in the other fields in Update Project Status Report Tables are used, as follows:

  • Compute Expense Commitments As Of: Current Date
  • Compute Open Receivable Amounts As Of: Current Date
  • Budget Type: Baseline
  • The Purge PSRs for Later Subperiods and Periods and Compute Burden on Commitments check boxes are cleared.
Create Project Report Tables
  • Projects: Projects selected in Month End Processes
  • Accounting Period: Accounting Period selected in Month End Processes
  • Create Data For group box: Only the following check boxes are selected:
    • Revenue Summary
    • Labor Summary
    • Revenue Worksheet

The defaults in the other fields in Create Project Report Tables are used, as follows:

  • T&M Analysis Report Options group box: The two fields in this group box are blank, and the Include Non-T&M Projects check box is cleared.
  • Budget Type: Baseline
  • Compute Open Receivable Amounts As Of: Current Date
  • Revenue Worksheet Report Options group box: Both check boxes in this group box are cleared.
