Modifying an Owning Organization on a Project
This topic can help you make modifications to an owning organization on a project.
Issues Involved in Changing Owning Orgs
The project level at which the modification is made is critical in determining the affected items. Consider the following when making modifications to owning organizations:
- Revenue
- Owning versus performing differences
- Within the same fiscal year
- Across fiscal years
- Accounts Receivable
- Billed
- Unbilled
- Open Accounts Receivable Invoices
- Progress payments
- Work In Process (WIP)
Automated Features for Changing the Owning Organization
The Org History subtask of the Manage Project User Flow:
- Complete it in its entirety when you modify the owning organization.
- Store the FY/Pd/Subpd of modification to the owning organization.
- Note whether modifications are retroactive or prospective for the current fiscal year.
- Record whether the transfer of Journal Entries has been processed for a specific organization modification.
- Record whether Accounts Receivable History modifications have been processed for a specific organization change.
- Populate the ORG_HIST table, which is a child table of PROJ.
Processing Organization Changes
Use the Process Organization Changes screen to process your organization modifications.
There are two different processing options:
- Create Journal Entries
- Revenue: owning vs. performing, prospective vs. retrospective
- Billed Accounts Receivable (open receivables are also moved) and Unbilled Accounts Receivable
- Progress payments
- Work in Process (WIP)
When you select the Create Journal Entries option and execute this screen, the program posts the Journal Entries to the General Ledger.

Update A/R History
- Processes Open Accounts Receivable invoices, checks, and cash receipts.
Things to Remember
Do
- Make sure you correctly fill out all of the data on the Org History subtask of the Manage Project User Flow whenever you make a modification to the owning organization.
- After entering a modification, run the proper sequence of steps for processing the organization modifications.
- Set up a CONTRA REVENUE account on the Manage Project Account Groups screen.
Do Not
- Modify the organization number a second time without processing the first modification completely.
- Compute or post revenue after modifying an organization and before processing all modifications.
