Contents of the Manage W-2Cs Screen

Use the fields and options to configure the Manage W-2Cs screen.

Identification

Field Description
Payroll Year Enter payroll year for which the W-2c was created.
Employee

Enter, or click to select, the employee for which the W-2c records is being entered. The employee must be linked to the login company.

When you enter the employee ID, the employee's taxable entity, SSN, name, and address will default in the following fields:
  • Taxable Entity
  • Employee's correct SSN
  • Employee's correct name
  • Employee's address and ZIP code
Taxable Entity Enter, or click to select, the taxable entity for which the W-2c record is being entered. It will default from the taxable entity assigned to the employee on the Manage Employee Information screen.

Field Description
Sequence Number

This disabled data field displays the sequence number of the W-2c for the specified Employee / Payroll Year / Taxable Entity / Tax Service Group ID combination. If the W-2c does not yet exist on the Manage W-2Cs, then a Sequence Number of 1 (one) will be assigned. The sequence number will be incremented by one for any W-2Cs created/entered for the same Employee / Payroll Year / Taxable Entity / Tax Service Group ID combination.

Autoload Previously Reported Information

Click this button to retrieve the employee's latest previously reported information from either the W-2 or W-2c for the specified Employee/Payroll Year/Taxable Entity Tax Service Group ID combination.

This will only be enabled if the following fields have been entered:
  • Payroll Year
  • Employee
  • Taxable Entity
  • Tax Service Group ID

When you click this button, the screen displays a message to provide you with an option to clear fields with no correction when the record is saved. When you opt to clear the fields, the screen automatically enables and selects the Clear uncorrected fields upon saving check box.

Clear uncorrected fields upon saving

Select this check box to clear the fields that have not been corrected when you save the record. If you opt not to select this check box, the screen will not clear any field and validations will apply to ensure both previous and corrected amounts are numeric if a field is being corrected.

The screen automatically enables and selects this check box if you click Autoload Previously Reported Information and opt to clear uncorrected fields upon saving.

(a) Employer's name, address, and ZIP code This non-editable field displays the name and address of the employer for which the W-2c record is being entered. It will default from the taxable entity name and contact information assigned to the taxable entity on the Configure Company Information screen.
(b) Employer's Federal EIN This non-editable field displays the EIN of the employer for which the W-2c record is being entered. It will default from the tax ID assigned to the taxable entity on the Configure Company Information screen.
(c) Tax Year This non-editable field displays the payroll year which the W-2c record is being entered. It will default from the entered payroll year.
(d) Employee's Correct SSN This non-editable field displays the SSN of the employee for which the W-2c record is being entered. It will default from the SSN assigned to the employee on the Manage Employee Information screen.
(e) Corrected SSN and/or name

Select this check box if employee's name or SSN is being corrected.

If this check box is selected and you are correcting the employee's SSN, you must enter the employee's previously reported SSN in box f. If you are correcting the employee's name, you must enter the employee's previously reported name in box g

If you uncheck this field, the employee's previously reported SSN in box f and/or employee's previously reported name in box g will be cleared and disabled.

(f) Employee's previously reported SSN Enter the previously reported SSN of the employee. This field will only be enabled if Corrected SSN and/or name check box is selected.
(g) Employee's previously reported name

Enter the employee's previously reported first name on the first line, previously reported middle name on the second line, and previously reported last name on the third line.

Employee's previously reported name fields (box g) will only be enabled if Corrected SSN and/or name check box is selected.

(h) Employee's correct name This non-editable field displays the employee's correct first name on the first line, correct middle name on the second line, and correct last name on the third line. It will default from the names assigned to the employee on the Manage Employee Information screen.
(i) Employee's address and ZIP code This non-editable field displays the address of the employee for which the W-2c record is being entered. It will default from the address assigned to the employee on the Manage Employee Information screen.

Previously reported

Field Description
(1) Wages, tips, other compensation

Enter the previously reported wages, tips, and other compensation of the employee. If there are no corrections, leave this field blank and do not enter 0.00.

(3) Social security wages

Enter the previously reported social security wages of the employee. If there are no corrections, leave this field blank and do not enter 0.00.

(5) Medicare wages and tips

Enter the previously reported Medicare wages and tips of the employee. If there are no corrections, leave this field blank and do not enter 0.00.

(7) Social security tips

Enter the previously reported social security tips of the employee. If there are no corrections, leave this field blank and do not enter 0.00.

(9) Box 9 field is currently not in use.
(11) Nonqualified plans

Enter the previously reported nonqualified plans of the employee. If there are no corrections, leave this field blank and do not enter 0.00.

Correct Information

Field Description
(1) Wages, tips, other compensation Enter the correct wages, tips, and other compensation of the employee. If there are no corrections, leave this field blank and do not enter 0.00.
(3) Social security wages

Enter the correct social security wages of the employee. If there are no corrections, leave this field blank and do not enter 0.00.

(5) Medicare wages and tips

Enter the correct Medicare wages and tips of the employee. If there are no corrections, leave this field blank and do not enter 0.00.

(7) Social security tips

Enter the correct social security tips of the employee. If there are no corrections, leave this field blank and do not enter 0.00.

(9) Box 9 field is currently not in use.
(11) Nonqualified plans

Enter the previously reported nonqualified plans of the employee. If there are no corrections, leave this field blank and do not enter 0.00.

Field Description
(2) Federal income tax withheld

Enter the previously reported federal income tax withheld of the employee. Do not enter 0.00 if this money field has no correction.

(4) Social security tax withheld

Enter the previously reported social security tax withheld of the employee. If there are no corrections, leave this field blank and do not enter 0.00.

(6) Medicare tax withheld

Enter the previously reported Medicare tax withheld of the employee. If there are no corrections, leave this field blank and do not enter 0.00.

(8) Allocated tips

Enter the previously reported allocated tips of the employee. If there are no corrections, leave this field blank and do not enter 0.00.

(10) Dependent care benefits

Enter the previously reported dependent care benefits of the employee. If there are no corrections, leave this field blank and do not enter 0.00.

  • Statutory Employee: Select this check box if the employee is previously reported as a statutory employee but the employee should be indicated as not a statutory employee.
  • Retirement plan: Select this check box if the employee is previously reported as an active participant of a retirement plan but the employee should be indicated as not an active participant.
  • Third-party sick pay: Select this check box if the employee is previously reported to have sick pay payments made by a third party when the employee should be indicated as not to have sick pay payments made by a third party.

Enter the correct federal income tax withheld of the employee. If there are no corrections, leave this field blank and do not enter 0.00.

(4) Social security tax withheld

Enter the correct social security tax withheld of the employee. If there are no corrections, leave this field blank and do not enter 0.00.

(6) Medicare tax withheld

Enter the correct Medicare tax withheld of the employee. If there are no corrections, leave this field blank and do not enter 0.00.

(8) Allocated tips

Enter the correct allocated tips of the employee. If there are no corrections, leave this field blank and do not enter 0.00.

(10) Dependent care benefits

Enter the correct dependent care benefits of the employee. If there are no corrections, leave this field blank and do not enter 0.00.

  • Statutory Employee: Select this check box if the employee is previously reported as not a statutory employee but the employee should be indicated as a statutory employee.
  • Retirement plan: Select this check box if the employee is previously reported as not an active participant of a retirement plan but the employee should be indicated as an active participant.
  • Third-party sick pay: Select this check box if the employee previously does not have a sick payment made by a third party but the employee should have sick payments made by a third party.
