Performance Assessment Tab

Use this tab to view all contract performance assessment records related to the customer. This tab is available only for customers and hidden for prospective customers.

Information on this tab is read-only and comes from the Performance Assessment tab on the Manage Contracts screen. The Performance Assessment tab in Manage Contracts is used to evaluate and track performance against contracts. It is also used to document assessment reports such as those from the Contractor Performance Assessment Report System (CPARS) as well as non-regulated assessments. Performance is evaluated based on several assessment factors, which may include quality of product or service, cost control, management, and regulatory compliance.

The assessment factors are displayed on the Assessment Details subtask (available in both Manage Contracts and Manage Contract Management Customer Info). These factors are rated as Unsatisfactory, Marginal, Satisfactory, Very Good, Exceptional, or any other rating code available in the system. Each rating has an equivalent score, and Costpoint calculates the total score and percent (out of the highest possible score) for the assessment record. The total score and percentage are also displayed on the Performance Assessment tab.

A performance assessment record becomes associated with a customer when that customer is selected in any of the following fields in Manage Contracts:

  • Customer ID
  • Assessor
  • Reviewer

One customer can be associated with multiple performance assessment records. The average rating (in percentage) of all assessment records related to the customer is displayed in the Average Rating field in the header of Manage Contract Management Customer Info. You can filter assessment records for the customer by contract ID, period of performance (POP) dates, review date, assessment type, assessor name, status, and associated contractor representative and project.

Field Description
Contract ID This field displays the contract ID linked to the assessment record associated with the customer.
Contract Name This field displays the contract name as a hyperlink. You can click the link to go to the Manage Contracts screen and view more information about the contract.
Assessment Name This field displays the name of the assessment record associated with the customer.
Assessment Type

This field displays the type of the assessment. Valid values are:

  • Interim
  • Final
  • Other
Status

This field displays the status of the assessment. Valid values are:

  • Pending
  • Received
  • In Dispute
  • Accepted
  • Accepted with reservation
Project ID This field displays the project ID associated with the assessment. You can click the hyperlink to go to the Manage Project User Flow screen and view more information about the project. Note, however, that if organization security is turned on for your company and this project is not included in your user security profile, Manage Project User Flow will display a blank record.
Customer ID This field displays the customer ID associated with the assessment.
Customer Name This field displays the customer name as a hyperlink. You can click the link to go to the Manage Customers screen and view more information about the customer.
Review Date This field displays the date of the assessment.
Next Review Date This field displays the next assessment date.
Assessed POP Start Date This field displays the starting date of the assessment's period of performance (POP).
Assessed POP End Date This field displays the ending date of the assessment's POP.
Total Score

This field displays the total score over the total highest possible score for this assessment record. If there are 8 assessment factors on the Assessment Details subtask, the highest possible score is 80. If the rating for this assessment record is 78, this field displays 78/80.

The unlabeled field to the right displays the Total Score in percent.

Recommended

This field indicates the assessor's recommendation of the contractor's ability to perform similar contract requirements in the future. Valid values are:

  • Yes
  • No
  • N/A
Assessment Format This field displays the assessment format selected for this assessment record. Assessment factors assigned to this format display on the Assessment Details subtask.
Contractor Representative

This field displays the contractor representative that has been designated to provide comments on the evaluation. This could be anyone in the company, such as the contract manager, operations director, or executive leader.

The unlabeled field to the right displays the contractor representative name as a hyperlink. You can click the link to go to the Manage Contract Management Employee Info screen and view more information about the employee. Note, however, that if organization security is turned on for your company and this employee is not included in your user security profile, Manage Contract Management Employee Info will display a blank record.

Assessor

This field displays the assessor for this assessment record. This is the role assigned to the government employee who has overall responsibility for contracting or executing the program or project for which performance is being evaluated.

The unlabeled field to the right displays the assessor name as a hyperlink. You can click the link to go to the Manage Customers screen and view more information about the assessor.

Reviewer

This field displays the reviewer for this assessment record. This is the role assigned to a government employee who is at least one level above the Assessor and who will review all contentious evaluations.

The unlabeled field to the right displays the reviewer name as a hyperlink. You can click the link to go to the Manage Customers screen and view more information about the reviewer.

Subtask

Subtask Description
Assessment Details Use this subtask to view the assessment factors defined for this assessment record. You can also view the rating for each assessment factor as well as the total score for the assessment record.
