Contents of the Print Employee Leave Statements Screen

Use the fields and options to configure the Print Employee Leave Statements screen.

Identification

Use the fields in this block to create a new parameter ID or to retrieve a previously saved parameter ID. A parameter ID represents a set of screen selection parameters. After you have saved a parameter ID and its related parameters, you can retrieve them using Query.

You can use the retrieved parameters to produce reports and run processes more efficiently and with greater consistency. The saved parameters are also useful and necessary when you want to run the process as part of a batch job. Many users save a unique set of parameters for each different way they run a report or process. When you select a previously saved parameter ID or parameter description, the associated saved screen selection parameters automatically display as selection defaults. The page setup and print options, if there are any, are also included in the saved parameter ID. You can change any of the associated selection defaults as necessary.

Field Description
Parameter ID

Enter, or click to select, a parameter ID of up to 15 alphanumeric characters. Choose characters for your parameter ID that help identify the type of selections you made on the screen, such as PERIOD or QUARTERLY.

When you save your record, all the selections made on the screen are stored with the parameter ID. Later, you can retrieve the parameter using Query.

You can use the parameter to run the process more efficiently because you can select the parameter ID with its previously defined screen selections. After the default selections display on the screen, you can override the defaults.

Enter, or click to select, a parameter description of up to 30 alphanumeric characters.

Selection Ranges

Use this group box to specify the data selection criteria for the leave statements .

Leave Cycle

Field Description
Leave Cycle

Enter, or click to select, the leave cycle code for the statements that you want to print. Leave cycles are linked to employees on the Manage Employee Information screen. After you specify a valid leave cycle, the leave period dates will automatically default.

Open Leave Period:

These two fields display start and end dates of the leave cycle's open leave period. The start date displays in the first field and the end date displays in the To field.

Range of Home Organizations, Locator Code, Employee ID

From this unlabeled drop-down list, select the type of range you want to define. Valid options are:

  • Home Organization: Select this option to print employee leave statements only for the leave cycle's employees that are assigned to home organizations within the specified range. Home organizations are assigned to employees on the Manage Employee Salary Information screen.
  • Locator Code: Select this option to print employee leave statements only for the leave cycle's employees that are assigned to locator codes within the specified range. Locator codes are assigned to employees on the Manage Employee Information screen.
  • Employee ID: Select this option to print employee leave statements only for the leave cycle's employees that are within the specified range.

From the drop-down list, select the option for the range of home organizations, locator codes, or employee IDs to print. The available options are:

  • All
  • One
  • Range
  • From Beginning
  • To End
From

If your range selection is One, Range, or To End, enter, or click to select, the home organization, locator code, or employee ID with which the report will start.

To

If your range selection is From Beginning or Range, enter, or click to select, the home organization, locator code, or employee ID with which the report will end.

Statement Information

Use this group box to enter information that will be included on the leave statements.

Field Description
Starting Number

Enter the statement number that you want to print on the first employee leave statement. The statement number will increment by 1 for every subsequent statement.

Date

Enter, or click to select,  the date to be printed on the employee leave statements.

Notes 1

Enter the first line of notes that you want to print on the leave statement.

Notes 2

Enter the second line of notes that you want to print on the leave statement.
