Contents of the View Payroll Edit Table Screen

Use the fields and options to configure the View Payroll Edit Table screen.

Selection Criteria

Use this block to select the parameters pertaining to the records you want to review. You can select records for review based on the types of transactions, the employee whose record was changed, the user who made the modifications, and/or the date of any modifications. After you have made your selections, use to fill the table window with the records you selected.

Transaction Type

Use the options in this group box to select which type of transactions to display in the retrieved records table.

Field Description
Add

Select this check box to include Add transactions.

Delete

Select this check box to include Delete transactions.

Update

Select this check box to include Update transactions.

Identification

Use this group box to select which employee's records to include in your review. You can also elect to review only the modifications made by a single user.

Field Description
Employee

Enter, or click to select, the employee ID for the employee whose records you wish to include in the record selection process. This is an optional field; if this field is left blank, the program includes all employees in the search.

User

Enter, or click to select, the user ID (Costpoint Login ID) for the user who is responsible for the modifications you wish to include in the record selection process. This is an optional field; if this field is left blank, the program includes records regardless of who made the modifications.

Date Modified

Enter, or click to select, the date of the transaction modifications to include in the displayed output. This is an optional field; if this field is left blank, the program includes records regardless of when the modifications were made. The format for date is "MM/DD/YYYY."

Federal/State Wages and Taxes

Field Description
Transaction Type

This non-editable field displays the type of modification for the specific transaction:

  • A: Add transaction
  • D: Delete transaction
  • U: Update transaction
  • Modified By (User)

This non-editable field displays the user ID (Costpoint login ID) for the user who made the modifications shown in this transaction.

Date Modified

This non-editable field displays the date on which the modification took place for this transaction.

  • Employee

This non-editable field displays the ID of the employee whose record was modified.

Employee Name

This non-editable field displays the name that corresponds to the employee ID for this transaction.

Pay Cycle

This non-editable field displays the pay cycle assigned to the employee referenced in this transaction.

Taxable Entity

This non-editable field displays the taxable entity to which the employee in this transaction is assigned.

Pay Cycle End Date

This non-editable field displays the pay cycle end date for this transaction.

Record Type

This non-editable field displays the check type for the employee referenced in this transaction. The types are:

  • R: Regular
  • B: Bonus
  • V: Voided
  • W: Represents the positive values of a replacement check
  • X: Can be used any time you want to generate a paycheck without first entering a timesheet
Check Number

This non-editable field displays the paycheck number issued for this transaction.

Check Date

This non-editable field displays the date on which the paycheck was issued for the check referenced in this transaction.

Disbursement Type

This non-editable field displays the disbursement code, C (Check) or D (Direct deposit advice), for the employee referenced in this transaction.

Tax Service Group ID

This field displays the Tax Service Group ID to which the employee is assigned as of the check date. Use this field to group the employee for tax reporting purposes. When you use , the results depend on the Tax Service Grouping Method that is set on the Configure Payroll Tax Export Settings screen.

Reference Number This field displays the reference number that is used to identify this record. This is an optional field. If applicable, enter the number of the employee earnings check that is associated with this record.
Reference Date This field displays the reference date that is used to identify this record. This is an optional field. If applicable, enter the date of the employee earnings check that is associated with this record.
Federal Exempt Pay Types

This non-editable field displays the total of the federal exempt pay types for the employee referenced in this transaction.

Federal Exempt Deductions

This non-editable field displays the total of the federal exempt deductions for the employee referenced in this transaction.

Federal Taxable Wages

This non-editable field displays the federal taxable wages for the employee referenced in this transaction.

Federal Taxes Withheld

This non-editable field displays the amount of federal income taxes withheld for the employee referenced in this transaction.

Soc Sec Exempt Pay Types

This non-editable field displays the total of the social security exempt pay types for the employee referenced in this transaction.

Soc Sec Exempt Deductions

This non-editable field displays the total of the social security exempt deductions for the employee referenced in this transaction.

Soc Sec Taxable Wages

This non-editable field displays the social security taxable wages for the employee referenced in this transaction.

Soc Sec Taxes Withheld This non-editable field displays the amount of social security taxes withheld for the employee referenced in this transaction.
Soc Sec Accrued Expense

This non-editable field displays the employer expense accrued for social security for the employee referenced in this transaction.

Medicare Exempt Pay Types

This non-editable field displays the total of the Medicare exempt pay types for the employee referenced in this transaction.

Medicare Exempt Deductions

This non-editable field displays the total of the Medicare exempt deductions for the employee referenced in this transaction.

Medicare Taxable Wages

This non-editable field displays the Medicare taxable wages for the employee referenced in this transaction.

Medicare Taxes Withheld

This non-editable field displays the amount of Medicare taxes withheld for the employee referenced in this transaction.

Medicare Accrued Expense

This non-editable field displays the employer expense accrued for Medicare for the employee referenced in this transaction.

Medicare Additional Wages

This field displays the Medicare taxable amount which exceeds the IRS threshold for additional Medicare taxation.

Medicare Additional Withheld

This field displays the additional calculated Medicare tax withholding amount.

Total Hours

This non-editable field displays the total hours that were charged from the timesheets that were processed for the employee referenced in this transaction.

Gross Amount

This non-editable field displays the amount of gross pay for the employee and check referenced in this transaction.

Reimbursements

This non-editable field displays the total reimbursement amount excluded from gross earnings for the payroll record. This total includes any earnings amount from the Reimbursements field on the Manage Payroll Records screen (where the Pay Type's Reimbursement Exclude from Gross check box is selected on the Pay Types subtask of the Manage Payroll Records screen).

Net

This non-editable field displays the net pay for the employee and check referenced in this transaction.

Employer Soc Sec Exempt Pay Types This field displays the amount for the employer portion of social security exempt pay types.
Employer Soc Sec Exempt Taxable Wages This field displays the amount for the employer portion of social security taxable wages.
Employer Medicare Exempt Pay Types This field displays the amount for the employer portion of Medicare exempt pay types.
Employer Medicare Exempt Taxable Wages This field displays the amount for the employer portion of Medicare taxable wages.
FUTA Exempt Pay Types

This field displays the total of all earnings amounts that are linked to pay types which are exempt from FUTA Taxable Wages. The taxability of pay types is determined on the Manage Pay Type Taxability screen. The pay types processed are detailed on the Pay Types subtask.

FUTA Exempt Deductions

This field displays the total of all deduction amounts that are exempt from FUTA Taxable Wages. The taxability of deductions is determined on the Manage Deductions screen. The deductions processed are detailed on the Deductions subtask.

FUTA Taxable Wages

This non-editable field displays the amount of FUTA taxable wages for the employee referenced in this transaction.

FUTA Subject Wages This field displays wages that are subject to FUTA. This is not necessarily the FUTA taxable wages since the U.S. federal government imposes a limit on the amount of wages which can be FUTA taxable. This field is calculated by subtracting the FUTA Exempt Pay Types amount and the FUTA Exempt Deductions amount from the Gross Amount.
FUTA Excess Wages This field displays the portion of wages that are subject to FUTA, but are in excess of the FUTA Wage Limit. This field is calculated by subtracting the FUTA Wage Limit from the FUTA Subject Wages.
FUTA Taxable Wages This field displays the system-calculated amount for FUTA Taxable wages. Costpoint calculates the taxable amount by subtracting the Exempt Wages displayed in this group box from the gross wages.
FUTA Rate

This field displays the FUTA Employer Rate on the Manage Federal Taxes screen of the payroll year that equals the payroll year on the check date.

FUTA Accrued Expense

This non-editable field displays the amount of FUTA accrued expense for the employee referenced in this transaction.

SUTA State

This non-editable field displays the two-character code for the SUTA state assigned to the employee referenced in this transaction.

SUTA Exempt Pay Types

This field displays the  total of all earnings amounts that are linked to pay types which are exempt from SUTA Taxable Wages. The taxability of pay types is determined on the Manage Pay Type Taxability screen. The pay types processed are detailed on the Pay Types subtask.

SUTA Exempt Deductions

This field displays total of all deduction amounts that are exempt from SUTA taxable wages. The taxability of deductions is determined on the Manage Deductions screen. The deductions processed are detailed on the Deductions subtask of this screen.

SUTA Subject Wages This field displays wages which are subject to SUTA. This is not necessarily the SUTA taxable wages since the U.S. federal government imposes a limit on the amount of wages which can be SUTA taxable.  This field is calculated by subtracting the SUTA Exempt Pay Types amount and the SUTA Exempt Deductions amount from the Gross Amount.
SUTA Excess Wages This field displays the portion of wages which are subject to SUTA, but are in excess of the SUTA Wage Limit. This field is calculated by subtracting the SUTA Wage Limit from the SUTA Subject Wages.
SUTA Taxable Wages

This non-editable field displays the amount of SUTA taxable wages for the employee referenced in this transaction.

SUTA Rate

This field displays the SUTA rate.

SUTA Accrued Expense

This non-editable field displays the amount of SUTA accrued expense for the employee referenced in this transaction.

Name This field displays the name that was used on the employee's paycheck or advice. Changing the employee's name after the paycheck/advice has been printed will not update this value. The field is only populated when the paycheck/advice is printed. Upon posting payroll, this value will be stored in the Manage Employee Earnings History table.
Social Security Number

This field displays the Social Security Number assigned to the employee when the check/advice was printed. Changing the employee's Social Security Number after the paycheck/advice has been printed will not update this value. The field is only populated when the paycheck/advice is printed. Upon posting payroll, this value will be stored in the Manage Employee Earnings History table.

Rate Type

This field displays the rate type (Hourly/Salaried) assigned to the employee when the check/advice was printed. Changing the employee's rate type after the paycheck/advice has been printed will not update this value. The field is only populated when the paycheck/advice is printed. Upon posting payroll, this value will be stored in the Manage Employee Earnings History table.

FLSA Classification

: This field displays the FLSA Classification (Exempt/Non-Exempt) assigned to the employee when the check/advice was printed. Changing the employee's FLSA Classification after the paycheck/advice has been printed will not update this value. The field is only populated when the paycheck/advice is printed. Upon posting payroll, this value will be stored in the Manage Employee Earnings History table.

Pay Frequency

This field displays the pay frequency (weekly/bi-weekly/semi-monthly/monthly) assigned to the employee's pay cycle.

Pay Period Salary (Exempt Employees)

: If the employee's FLSA Classification is Exempt, this field displays the salary amount assigned to the employee when the check/advice was printed. Changing the employee's salary amount after the paycheck/advice has been printed will not update this value. The field is only populated when the paycheck/advice is printed. Upon posting payroll, this value will be stored in the Manage Employee Earnings History table.

Paystub Address Line 1 This field displays the first line of the employee's home address.
Paystub Address Line 2 This field displays the second line of the employee's home address.
Paystub Address Line 3 This field displays the third line of the employee's home address.
Paystub City This field displays the city of the employee's home address.
Paystub State/Province This field displays the state or province of the employee's home address.
Paystub Postal Code This field displays the postal code of the employee's home address.
Filing Status

This field displays the employee's federal filing status, such as S (Single) or M (Married).

Exemptions

This field displays the number of federal tax exemptions claimed on Form W-4 by the employee.

Federal Override Amount

This field displays the employee’s federal withholding override amount (in lieu of the Costpoint-calculated amount withheld).

Federal Override Percent

This field displays the employee’s federal withholding override percentage (not the percentage from the Federal Tax tables).

No of Federal Dependents (Qualifying Children under 17) This field displays the number of qualifying children under 17 (Step 3 of Form W-4).
No of Other Federal Dependents This field displays the number of other dependents (Step 3 of Form W-4).
Federal Other Tax Credit Amount This field displays the employee's other tax credit amount (Step 3 of Form W-4).
Federal Other Income This field displays the employee's other income amount (Step 4a of Form W-4).
Federal Deductions Amount This field displays the employee's total deductions amount (Step 4b of Form W-4).
Federal Additional Amount This field displays employee's additional withholding amount each pay period (Step 4c of Form W-4).
Subject to Social Security

This field displays if the employee is subject to Social Security Payroll Tax.

Subject to Medicare

This field displays if the employee is subject to Medicare Payroll Tax

Subject to FUTA

This field displays if the employee is exempt from Federal unemployment tax.

Subject to SUTA

This field displays if the employee has unemployment insurance coverage for the specified SUTA State.

Step 2 of W-4 This check box indicates if Step 2 of W-4 table was selected to be used in the federal withholding amount calculation. (Step 2 of Form W-4).
Form W-4 Version This field displays the version of Form W-4 used by the employee.
