Complete Activity Subtask

Use this subtask to complete a workflow activity.

To truly complete the activity, you must click Complete on this subtask. The date and time the activity is completed are then audited. The completed activity is removed from the Monitor Activities and Messages screen. If this activity completes the prerequisites for other activities in the workflow model, those activities are routed to the Monitor Activities and Messages screen (and email, if available). If you defined roles in the workflow model to be notified upon completion of this activity, a message is routed to message inboxes (or email, if available).

You must set up the following screens before you can use this subtask:

  • Manage Workflow Case Labels
  • Manage Workflow Role Filters
  • Manage Workflow Roles
  • Manage Workflow Models
Warning: You must be certain that all work for a particular activity has been finished before using this subtask. After the activity is completed, it is removed from your Monitor Activities and Messages screen and appears with a red check in the Monitor Workflow Status screen. Also, when the activity is completed from a Costpoint function, the Complete option in the workflow menu becomes inactive. If you inadvertently complete the activity, any additional work for the activity is then done outside the workflow.

Field Description
Option

Use field to enter, or use to select, which option you want to view for an activity. This field is active if the selected activity has options. If you select a specific option in the Monitor Workflow Status screen, only that option is available in this field.

Completion Notes

Use the field in this group box to enter any notes regarding special occurrences while completing the activity.

Complete

Click this button to complete the activity and save data.

If the currently selected activity is the only incomplete activity within the workflow, the workflow as a whole is considered complete. The workflow status is changed from in-progress to complete and the date/time it was completed is stored. If there are other incomplete activities for the workflow case and these activities are not required, you are prompted to mark the workflow case complete. If you complete the workflow case, no other activities can be routed, started, or completed.

Workflow Case Values

This table window displays the workflow case labels associated with this activity and their values.

Field Description
Label This field displays values from the Label column in the Case subtask of the Manage Workflow Models screen. These are the key identifiers for the workflow case.
Value

Use this field to enter, or use to select, a value for this case label. Depending on your selection in the Valid Values drop-down list box on the Manage Workflow Case Labels screen, only certain entries are valid for this field. The valid values are as follows:

  • All: This value indicates that any case value is acceptable.
  • System: This value indicates that case values are derived from a system table.
  • User-Defined: This value indicates that a user defined the parameters.

    If you selected All in the Valid Values drop-down list box on the Manage Case Labels screen, you cannot use in this field.

Note: Case labels and values create an identifier for the workflow case. You can also use a case label and case value as a filter. To filter on a particular case and value, you must enter the label, value, and users (to route activities and messages) on the Manage Workflow Role Filters screen. Also, you must add the filter to a role in the Manage Workflow Roles screen.

If you are using role filters, changing a Value may cause activities and messages to be routed differently. Also, changing the Value does not change the Case Value of previously routed activities.
